For an upcoming trip (an approved proposal) should you share the upcoming trip via a new share link or the app?

For sharing upcoming trip itineraries with your clients (after the proposal has been approved), we have the option to share the upcoming trip itinerary as either a simple link or by accessing the app. Why?

  • For clients who are familiar with using apps, our app is great for viewing the upcoming trip itinerary, accessing files and in-app messaging. No upcoming trip share links need to be provided!

  • For clients who may not be as familiar with using apps, sharing a link with them may be preferred, so in just a click they can view their upcoming trip itinerary and they do not need to be invited into the app. HOWEVER, pleae note, only the app have offline capabilities, so it may be prudent to also share a PDF version of the upcoming trip itinerary with your client too.

Summaries of these options is set out below:

Option 1 - App only

  1. Share the proposal with the client via:

    1. the share link;

    2. email with the proposal link embedded; or

    3. email attaching the proposal PDF

  2. The client can either approve or decline the proposal. If the client approves the proposal it becomes an upcoming trip.

  3. If the client then requests additional itinerary items (which have an associated price) to the 'upcoming trip’ then you can add that new item as an ‘extra’ and share the ‘extra’ link to the client for the review and approval of that new itinerary item (or you approve on their behalf).

    If you make more general changes to the upcoming trip which don’t have client prices associated with them, for example, a change to times, text changes, add images etc. then those changes do not require client approval.

  4. When you are ready, you invite the client into the app for them to access their final upcoming trip itinerary. If you add ‘extras’ they need to have been been approved (either by the client or by you from your end) before being shown on the app, but otherwise any other general changes you make to the upcoming trip (without an associated prices), for example, a change to times, text changes, add images etc. those will be updated in the app and seen by the client in the app.

Option 2 - Link only

  1. Share the proposal with the client via:

    1. the share link;

    2. email with the proposal link embedded; or

    3. email attaching the proposal PDF

  2. The client can either approve or decline the proposal. If the client approves the proposal it becomes an upcoming trip.

  3. If the client then requests additional itinerary items (which have an associated price) to the 'upcoming trip’ then you can add that new item as an ‘extra’ and share the ‘extra’ link to the client for the review and approval of that new itinerary item (or you approve on their behalf).

  4. You don’t invite the client into the app at all, and just create a new link of the upcoming trip for them to access their upcoming trip itinerary (Sharing a link which shows the the most recent edits to the 'Upcoming’ trip). Similarly to the app, if you add ‘extras’ they need to have been been approved (either by the client or by you from your end) before showing on the new share link you created and provided to the client, but otherwise any other general changes you make to the upcoming trip (without an associated prices), for example, a change to times, text changes, add images etc. those will be updated and seen by the client when they click that new share link you created and provided to your client.
